Topic 19 – Presentations

Learning Objective

Students will be able to insert and edit objects consistently, including images, text, shapes, logos, slide headers and footers, placeholder positions, and automated slide numbering.

1. Inserting Objects

  • Text boxes – Use the Insert → Text Box command; click and drag to size.
  • ImagesInsert → Picture from file or online source.
  • ShapesInsert → Shapes; choose from basic shapes, arrows, flow‑chart symbols.
  • Logos / Icons – Treat as images; consider using vector formats for scaling.
  • SmartArt – For diagrams and organisational charts.

2. Editing Objects

  1. Select the object to display the formatting toolbar.
  2. Use Format options:

    • Fill colour, outline, and effects.
    • Text style – font, size, colour, alignment.
    • Size and position – use the Size & Position dialog for exact dimensions.

  3. Right‑click for quick actions such as Bring to Front or Send to Back.
  4. Group multiple objects (Ctrl+G) to move or resize them as a single unit.

3. Working with Placeholders

Placeholders define where content should be placed on a slide layout.

  • Access via View → Slide Master.
  • Common placeholder types:

    • Title
    • Subtitle
    • Content (text, picture, chart, table)
    • Footer
    • Slide Number

  • To move a placeholder, select it in the Slide Master and drag to the desired position.
  • Resize using the handles; hold Shift to maintain aspect ratio for picture placeholders.

4. Headers, Footers and Slide Numbers

Headers are not typical in slide decks, but footers can contain consistent information.

  1. Open Insert → Header & Footer.
  2. Check Footer and type the desired text (e.g., school name, presenter’s name).
  3. Check Slide number to enable automatic numbering.
  4. Apply to All Slides or select specific slides.

5. Automated Slide Numbering

Slide numbers update automatically when slides are added, deleted or reordered.

  • Insert via Insert → Slide Number in the Footer dialog.
  • Position the number placeholder in the Slide Master (commonly bottom‑right).
  • Use the Format Slide Number option to change font or style.

6. Maintaining Consistency

Consistent formatting improves readability and professionalism.

AspectGuidelineWhy It Matters
Font family & sizeUse the same font for headings (e.g., Arial 24 pt) and body text (e.g., Arial 18 pt).Ensures visual harmony and legibility.
Colour schemeChoose a palette of 2–3 colours and apply them to text, shapes, and backgrounds.Creates a cohesive visual identity.
AlignmentAlign text boxes and objects to the same margin or centre line.Prevents a cluttered appearance.
Logo placementInsert the logo in the same corner on every slide (e.g., top‑left, 1 cm from edges).Reinforces branding without distraction.

7. Common Keyboard Shortcuts

  • Ctrl+M – New slide
  • Ctrl+Shift+G – Ungroup objects
  • Ctrl+Shift+C / Ctrl+Shift+V – Copy/Paste formatting
  • Alt+N, P – Insert picture
  • F5 – Start slideshow from first slide

8. Checklist for Consistent Slides

  1. Use the same slide master for the entire presentation.
  2. Verify that all placeholders are correctly positioned.
  3. Confirm that the footer contains the required text and slide number.
  4. Check that images and logos are scaled proportionally.
  5. Review font sizes and colours for uniformity.
  6. Run the slideshow to ensure slide numbers appear in order.

9. Summary

Consistent insertion and editing of objects—text, images, shapes, logos, headers, footers, placeholders, and slide numbers—are essential skills for creating professional presentations. By using the Slide Master, applying uniform formatting, and leveraging automated features such as slide numbering, students can produce clear, cohesive slide decks that meet the Cambridge IGCSE ICT standards.
