  • Identify and correct inconsistent line spacing in documents and presentations.
  • Remove unwanted blank pages or slides using appropriate tools.
  • Detect and fix widows and orphans to improve readability.
  • Apply consistent styles correctly across headings, sub‑headings and body text.
  • Ensure tables and lists remain intact without splitting across columns, pages or slides.
Materials Needed:
  • Computer with Microsoft Word and PowerPoint installed.
  • Projector and screen.
  • Sample Word document and PowerPoint presentation for proofing.
  • Handout with proofing checklist.
  • Teacher’s guide with step‑by‑step instructions.
Introduction:
Begin with a quick poll: How many of you have ever submitted a report that looked messy because of uneven spacing or stray blank pages? Today we’ll build on your existing knowledge of basic document editing to master professional proof‑reading techniques. By the end of the lesson you will be able to spot and fix line‑spacing errors, blank pages, widows/orphans, style inconsistencies and split tables or lists. Success will be demonstrated through a guided proofing activity and a short exit ticket.
Lesson Structure:
  1. Do‑now (5') – Students open the sample document and note any obvious formatting problems. Teacher circulates and records observations.
  2. Direct Instruction (10') – Demonstrate uniform line spacing, removing blank pages, and widow/orphan control in Word and PowerPoint.
  3. Guided Practice (15') – Learners work in pairs to apply the demonstrated techniques to the sample files, checking each proofing item against the checklist.
  4. Style Application (10') – Show how to use the Styles pane, clear direct formatting, and re‑apply correct heading and Normal styles.
  5. Table/List Integrity (10') – Demonstrate preventing row breaks in tables and keeping lists together, then have students adjust a multi‑column layout.
  6. Check for Understanding (5') – Quick quiz (Kahoot) covering key steps.
  7. Consolidation (5') – Review the proofing checklist as a class, addressing any lingering questions.
Conclusion:
To wrap up, we revisited the five proof‑checking checkpoints and confirmed that each student’s document meets the criteria. For the exit ticket, write one tip you will use next time you proof a document. Homework: proofread a one‑page essay from home, applying all the techniques learned, and bring the before‑and‑after versions to the next class.
